The assignment

"We have a website but also an internal site for our trainers and coaches. That includes an online store for the materials. But that really meant too much manual work for us before," says Edith.

"We have a network of more than 130 certified PCM trainers and coaches in the Netherlands and Belgium. I just wanted a well-functioning online shop, that would really be an efficiency gain for our office. With the agency we were working with, that wasn't going to work. Then a neighbor said: you should talk to Buro Staal. That was a golden tip."

The situation

PCM trains trainers and coaches and provides products such as personality profiles, books and teaching materials. "PCM is a model that provides insight into preferences of communication and motivation. And it shows predictable patterns of when we slip into stress mode. With the PCM tools, you can better manage yourself and others, improving your own quality of life, and that of others," Edith says.

"For the materials, there was a catalog in PDF form, which you then had to download, mail what you wanted, then we had to process that order, with an Excel sheet, put it through to our warehouse, then the bookkeeper made an invoice and we had to monitor shipping and payment as well. Always that back and forth email! There had to be a better way. That is why we asked Buro Staal to create a new webshop."

the purpose

"Efficiency," says Edith. "But also a professionalization drive. That was important for the growth of our organization. And better payment flows. I partnered with Buro Staal because I just wanted to do it all right the first time. That it all runs smoothly, that I don't have to worry about it. Now everything goes automatically. Wonderful!"

By setting up the webshop properly and automating as many processes as possible, such as the link between WooCommerce and PCM Netherlands' accounting system, we have replaced as many manual operations as possible.

THE approach

"The first contact was immediately positive," says Edith. "Rosanne is nice and to the point and sent a good quote based on our first conversation. 'We can do that,' Rosanne said when I told her what I wanted. Okay, the shop may not be very complex, but it is new to us. And not for Buro Staal. They were immediately very pragmatic in how we could solve and approach things."

"The nice feeling of the first meeting has always felt that way," Edith says happily. "It really ran super smoothly. I can't say anything else about it. Buro Staal uses Asana. They had made a checklist so I could see exactly what steps had to and were going to be taken and what I was responsible for. I had made a list of business requirements myself and they had put those in as well. Gradually all the tasks were checked off. I think we had up to 8 consultations."

"In terms of project management, they really stand head and shoulders above the rest! I've put a lot of websites live in my career, but rarely has a collaboration gone so smoothly. They put a team of 3 people on the project; someone for the design, someone for the backend, and Rosanne was my contact person. They responded quickly and kept the momentum going nicely."

"We just met the deadline! And stayed within budget. And that with relatively little consultation. So nice! Mentally it took very little effort on my part. They took a tremendous amount out of my hands. Every now and then we had a half-hour video call and during the call Rosanne immediately made some adjustments. Hoppa! They really like to tackle things," laughs Edith.

THE result

"We have very little work on it now. The shop just runs in the background," Edith says. "I no longer have to keep an eye on orders via email, no longer have to process orders manually, no longer have to chase payments. Everything is settled immediately. I can put all that time gained into growing the business."
"If I have questions, I can just call them. I have a support bundle. The support and help desk is also just very good; very professional with a ticket number and it is taken care of well, but also personally."
"When the project ended I received a nice gift. My dog is very happy with it, haha. Those are those nice, personal moments. Yes, Buro Staal has the customer journey well in hand! I have already recommended them to others and am thinking of having them redesign the website in WordPress. But it has only been up for a year and a half. So that's future music. But I already hear that one playing out."
